GetChatty CODE OF CONDUCT
Introduction
At GetChatty, we are committed to fostering a professional, inclusive, and respectful learning environment for both students and teachers. This Code of Conduct outlines the standards of behavior expected from all participants involved in our language programs. Adherence to these standards is essential to maintain the quality and integrity of our educational experience.
GetChatty CODE OF CONDUCT FOR TEACHERS:
- Communication and Feedback
- Teachers must provide clear, accurate, and constructive feedback through both text and voice messages.
- Voice messages must be recorded in a quiet environment. Background noise such as traffic, barking dogs, household disturbances, or construction must be avoided.
- All communication with students must be courteous, respectful, and professional.
- Teachers are expected to maintain a supportive tone, even when correcting mistakes or guiding students away from inappropriate topics.
- Professional Boundaries and Sensitive Topics
- Teachers must respect student privacy and confidentiality at all times.
- If a student introduces a sensitive or personal topic such as religion, politics, sexuality, or personal issues, the teacher should kindly and professionally steer the conversation toward a neutral topic by using a premade activity.
- Teachers may use the following suggested responses to shift the topic politely:
“Oh, that’s too bad. I hope things get better. Today we’ll talk about [insert grammar topic]. Here’s your activity for today.”
“I’m so sorry to hear that. Let’s talk about something different to help you take your mind off it. Here’s your activity for today.”
“Oh wow, that’s so interesting. I didn’t know that—thank you for sharing! Here’s your activity for today. We’ll focus on [insert grammar topic].” - If the conversation continues to shift into inappropriate or uncomfortable areas, the teacher may say:
“I’m sorry, but I believe we’ve been discussing this topic for quite a while. Let’s move on to something else. What are your plans for the weekend?”
- Class Scheduling and Punctuality
- Teachers are expected to be punctual and send the first message of the day by 9:00 a.m. Students must receive their feedback and daily activities between 9:00 a.m. and 6:00 p.m. (UTC/GMT+1), Monday through Friday. These are the official operating hours
- Video calls must start at the time agreed upon with the student and last 45 minutes.
- If the teacher cannot begin the class on time, they must inform the student at least 30 minutes in advance to cancel, reschedule, or notify them of a delay. In the case of a delay, the class will still last 45 minutes from the moment both parties join the call.
- If a student is late for a video call, the class will still end at the originally scheduled time unless the student has informed the teacher at least 1 hour in advance of a new arrangement.
- If a teacher cancels at the last minute or foresees a delay that disrupts the student’s schedule, the student is entitled to reschedule the video call for another day within the same week. If that is not possible, the student may opt to take two video calls in the following week instead of one.
- Students are allowed to text the teacher outside of working hours; just remember that teachers are not required to respond until operating hours begin.
- Response Time
- While students are aware that teachers will respond “as soon as possible,” a response must not take longer than two hours during operating hours.
- Inclusive and Respectful Environment
- Teachers must maintain a positive and inclusive learning environment that respects all cultures, backgrounds, and beliefs.
- Discrimination, harassment, or disrespect of any kind — including but not limited to race, gender, age, religion, sexual orientation, nationality, or language proficiency — will not be tolerated.
- Teachers must never allow personal opinions to interfere with student interaction or learning objectives.
- Lesson Content and Materials
- Teachers are required to follow GetChatty’s premade activities.
- Any new or customized activities must be submitted for approval to the CEO before being used with students.
- All content, including voice notes, lesson materials, and recordings, must remain confidential and may not be shared externally without written permission from the CEO and all parties involved.
- Recommended material must not include platforms, or services provided by competitors in the field of English language teaching.
- Recommended material should be focused on leisure and practical language use, rather than formal learning materials.
- Recommended material must be free and easily accessible to the student (e.g., available on YouTube, Spotify, public websites, or free apps) previously approved by the CEO.
- Recommended material should not lead to any form of paid subscription, purchase, or external registration unless previously approved by the CEO.
Teachers are encouraged to prioritize content that promotes natural listening, vocabulary reinforcement, and student interests, while maintaining professional integrity and alignment with GetChatty’s Company Policy, Privacy Policy, Code of Conduct, and Security Policy.
- Confidentiality and Privacy
- All personal information shared during lessons must remain confidential.
- Teachers must respect and safeguard the privacy and intellectual property of both students and GetChatty.
- Violations and Disciplinary Actions
- Any violation of this Code of Conduct may result in a formal warning, temporary suspension, or removal from the GetChatty program.
- GetChatty reserves the right to take appropriate action in cases of misconduct, unprofessional behavior, or repeated non-compliance.
GetChatty CODE OF CONDUCT FOR STUDENTS:
- Communication and Respect
- All communication with your teacher must be courteous, respectful, and professional at all times.
- Offensive language, disrespectful behavior, or any form of harassment will not be tolerated.
- Students should respect cultural, political, religious, and personal differences. If sensitive topics arise, teachers are instructed to gently steer the conversation back to a neutral or academic topic to maintain a safe and inclusive environment for learning.
- Privacy and Confidentiality
- Do not share personal or sensitive information that may make others feel uncomfortable or put anyone at risk.
- All information shared during lessons—whether by the student or the teacher—must remain confidential.
- Students must not share voice notes, lesson materials, or class recordings externally without explicit written permission from GetChatty.
- Class Scheduling and Punctuality
- Students are expected to attend video calls on time. If you are running late or need to reschedule, please inform your teacher at least 1 hour in advance.
- If you join a class late, the session will still end at the originally scheduled time unless prior notice of a scheduling change was given.
- In the case of a teacher’s last-minute cancellation, you may choose to reschedule the call for another day during the same week. If that is not possible, you may have two video calls the following week instead of one.
- Engagement and Participation
- It is entirely the student’s responsibility to respond to the messages sent by their teacher in a timely manner. Active participation is key to making progress in the course.
- If a student is unable to participate due to personal reasons (such as being busy, feeling tired, forgetting, etc.), no additional days will be granted, unless a scheduled trip or extended absence was communicated in advance before the purchase of the course.
- If the student has planned vacations, work obligations, or other activities that will interfere with their participation during operating hours, they must inform their teacher as early as possible.
- If the student is aware of upcoming absences before purchasing a new course package, this must be discussed with their teacher or a GetChatty representative beforehand.
- Students are allowed up to 2 extra days per month for health-related reasons (e.g., illness or sickness), which can be added to their course period as make-up days. Additional requests may be reviewed on a case-by-case basis.
- Response Time and Availability
- While your teacher will respond “as soon as they can,” please be patient. Teachers are expected to reply within 2 hours during operating hours (9:00 a.m. – 6:00 p.m., UTC (GMT+1) Monday through Friday).
- You can text or send voice notes to your teacher outside operating hours. Just take into account that your teacher will reply the next day (if you texted late at night) or as soon as the operating hours begin at 9:00 a.m. UTC (GMT+1).
- Behavior and Conduct
- Discrimination, harassment, or disrespect based on race, gender, age, religion, sexual orientation, nationality, or language proficiency is strictly prohibited.
- Refrain from engaging in personal, religious, political, or controversial discussions during lessons. If these topics are brought up, teachers are instructed to shift the conversation to maintain focus on learning.
- If a teacher expresses discomfort or redirects a conversation, students are expected to follow their lead respectfully.
- Program Integrity
- Students must not attempt to modify, record, or redistribute lesson content or materials without permission.
- Lessons and materials are the intellectual property of GetChatty, and must be used solely for personal educational purposes.
- Violations and Disciplinary Action
- Any violation of this Code of Conduct may result in a formal warning, suspension, or removal from the GetChatty program.
- GetChatty reserves the right to take appropriate action in response to any misconduct or repeated non-compliance.
